At one o'clock the morning crew go for lunch and the afternoon crew take the desk. It takes about ninety seconds. Somebody says "it has been quiet since twelve, there is a man waiting on a badge reprint, the spare scanner is behind the plant", and then they are gone, and the person now holding the door has three quarters of what they need to run it.
Everything that goes wrong at the front door in the second half of the day tends to start here. Not at the desk, not in the software, in the handover.
Shifts are short, so there are more handovers than you think
Front-of-house shifts are deliberately short, because standing at a desk greeting people is tiring in a way that surprises people who have not done it. Look at how 2026 conferences are staffing their desks. The NHRMA 2026 conference asks registration and information desk volunteers for a three-hour block, saying plainly that "a three-hour shift is requested due to the training required" (NHRMA 2026 volunteer requests). The R5 Conference sets a floor rather than a ceiling: "volunteer shifts are in blocks with a minimum of 4 hours" (R5 Conference volunteers, 2026). RSECon26 goes further and builds rotation into the role itself, promising that "no one will be expected to be doing any particular role for the entirety of the conference (or even a whole day at a time)", across a total of fifteen to twenty hours over three days (RSECon26 volunteer role description).
Take the middle of that range. A door that is open for ten hours changes hands two or three times. A two-day event with a morning, afternoon and evening block changes hands six times or more. Every one of those is a moment where the state of the room lives only in somebody's head, and that somebody is about to leave the building.
What actually has to move across
A handover is not a conversation. It is four things being transferred, and only one of them is naturally spoken aloud.

The count should never be part of a spoken handover, and on a system that is counting properly it is not. Registered, Checked in, Departed and Absent are on the screen, current to the second, and the incoming crew read them rather than being told them. That is most of the value of a live board, and it is why we suggested a fixed set of numbers to watch while the doors are open rather than a running commentary.
The open exceptions are the ones that get dropped. A guest whose pass would not scan and who was found by name, a substitution that still needs the badge reprinting, a group who came in on one booking and left two people outside. None of this is on the dashboard, because none of it is finished.
Write the exceptions down where the next person will look
The fix is not a longer handover. It is a shorter one, with the loose ends written in the record rather than recited from memory.
Anything unresolved goes as a note against the guest it belongs to. The man waiting on a badge reprint is a note on his record, not a sentence at the end of a shift. When he comes back to the desk at half past one and gives his name, the person who has never met him sees the note, and the reprint takes twenty seconds instead of a fresh explanation from the top.
That habit turns the handover into three things worth saying out loud:
- What has changed since the plan. The second lane opened at noon. The lift is out, step-free arrivals are coming through the side door.
- What is still open. Two notes on the list, both flagged, both with names.
- What is physically here. Two scanners, one tablet, the spare battery pack, the reprint stock.
Under three minutes, and none of it depends on the outgoing crew remembering something at the door of the staff room.
Give every person their own login
The most common shortcut on a door is one shared account left open on the tablet all day. It survives handovers beautifully, which is exactly why it is a problem. Every check-in for ten hours is attributed to one login, so the record cannot tell you who scanned what, and neither can it tell you which shift the mis-scan happened on.
Individual logins cost nothing and fix both. The incoming crew sign in as themselves, the outgoing crew are signed out and no longer have access to the guest list on their way home, and the audit trail reads like a rota. If something has to be reviewed after the event, and occasionally it does, an audit trail you can actually read is the difference between a five-minute answer and an afternoon of guessing.
This is also the moment to move devices deliberately rather than by habit. Scanners handed over person to person, logged as returned and reissued, do not quietly leave with the shift that finishes at six. On a multi-day event that discipline is the whole of tracking loaned kit, applied three times a day instead of once a week.
Overlap the shifts by fifteen minutes
If you take one thing from this, take the overlap. Rostering the incoming crew fifteen minutes before the outgoing crew leave costs a quarter of an hour of somebody's time and removes the cliff edge entirely.
The new person stands at the desk and watches two or three check-ins happen before they own the door. They see where the queue forms, how the scanner is being held, what the venue's wifi is doing today. They ask the question they would not have thought to ask in a corridor. Then the desk changes hands while it is running, not while it is empty.
It also gives you a natural moment for the count to be read together. Both crews look at the same screen, agree that four hundred and twelve people are in the building, and the number carries across the shift boundary without anybody having to trust their memory of it.
The point of all this
A good handover is boring. The room is the same room at ten past one as it was at ten to, the guest who was waiting is still being dealt with by somebody who knows what he is waiting for, and the number on the screen never jumps.
That only happens when the door's state lives in the system rather than in the crew. People finish their shift, go home, and take nothing with them that the event needed. Which is, after all, the entire point of having a record at the front door in the first place.
