Plenty of events have more than one way in. A main door, a step-free entrance round the side, a lane for staff and crew, and at bigger events a separate desk for sponsors or speakers. None of that is a problem in itself. The problem shows up later, when someone asks how many people are in the building and three doors each have their own answer.
The front door, or doors, matter more than they tend to get credit for. According to Bizzabo's 2025 State of Events benchmark report, 71% of attendees say the ease of check-in can make or break their event experience (Bizzabo, 2025 State of Events). That verdict is formed in the first minute, before a session starts or a drink is poured. Opening a second entrance is often how you keep that first minute fast. It only works if the doors add up to one number.
One list, many doors
The mistake is to treat each entrance as its own little event: its own printed list, its own tally, its own idea of who has arrived. It feels tidy in the morning and comes apart by the evening. A guest checks in at the side door, the colleague on the main desk has no way of knowing, and the same name gets marked in twice or chased as absent when the person is already inside.
The fix is simple to say and worth the setup. Every entrance checks people in against the same guest list, in real time. It does not matter which door a guest walks through. The moment they are checked in, every other door and the organiser's screen already know it. One list, many doors, one truthful count. The number that has to be true
There is one figure that has to be right at every moment: how many people are currently in the building. It drives your capacity limit, your safety planning, and the simple question a venue manager will ask you at the worst possible time. If that number only exists as a sum of three clipboards, it is already wrong, and nobody will notice until it matters.
When every entrance feeds the same count, the total is live and it sits in one place. You can glance at it, and so can whoever needs it. It is also why we argue for counting people out, not just in: the number in the room only stays true if departures come off it as cleanly as arrivals go on, whichever door people use to leave.
Crew, lanes and logins
More doors means more people running them, and that is a small management job of its own. Each entrance needs someone who knows what they are doing, and each of them should scan under their own login rather than a shared one. The record then shows who checked in whom, which matters if a pass is queried later, and a short brief before doors keeps everyone reading the same instructions. When a pass is scanned twice
Run more than one entrance and, sooner or later, a pass turns up at two of them. Someone steps out for a call and comes back through a different door, or hands their phone to a friend. On separate lists that is invisible. On one shared list, the second scan can flag that the pass is already checked in, so the crew member sees it and decides what to do rather than waving a duplicate through. Keep every door fast
The reason you opened a second entrance was speed, and speed still matters once the doors are open. Patience for a queue is thinner than it used to be. In Waitwhile's 2025 State of Waiting in Line report, only 75% of people said they were still willing to wait 15 minutes, down from 81% a year earlier (Waitwhile, 2025). Spreading arrivals across entrances is one of the better ways to keep any single queue short, as long as the count behind them stays joined up. If one door does get busy on its own, splitting it into lanes buys you more throughput without adding another list to reconcile.
One door or five, one number
